This practice is one teacher. There is no marketing list, no advertising, and nothing is sold or shared with anyone.
When you create an account to book sessions:
Your password is never stored. What is stored is a one-way hash of it, which cannot be turned back into your password.
When you ask a question or request a free consultation, without making an account:
None of that is put in the database. It is emailed to me and lives in my inbox, like any other message, until I clear it out.
The web server also keeps a short record of each request to the site, including the IP address it came from, so that I can see when something is broken and stop anyone hammering the sign-in page. It is kept for two weeks and then overwritten.
One cookie, set when you sign in, so the site knows it is you on the next page. It is removed when you sign out. There are no others.
In a single database file on a rented server, accessible only to me. That server is in the United States. Email is delivered through Amazon SES in Montreal, Canada, which necessarily sees your email address and the contents of the messages sent to you.
So your information still leaves Canada, because of where the server is. I remain responsible for it wherever it is held, and neither company is permitted to use it for anything but running this service. You should know that information stored in another country can be reached by that country's authorities under its own laws.
While your child is a student here, and for one year after their last session, so that a family taking a break over the summer does not come back to nothing.
After that your account and its whole booking history are deleted automatically. You get an email about two weeks beforehand telling you the date, and you can stop it by booking a session or simply replying — there is nothing to fill in. If you would rather not wait, ask me at any time and I will delete everything sooner.
The service that delivers the email does not keep a copy of the messages it sends. Once your account here is deleted, your own inbox is the only place any of it still exists.
Accounts are held by a parent or guardian, not by the student. The only information about the student is a first name, a grade, and what they are working on.
Surnames are not held for students. If one is typed into a form it is discarded before it is saved — the site keeps the first name, and an initial after it if you add one, which is there so two students with the same first name can be told apart.
You can see everything held about you from your account, whenever you like — sign in and open My information. It is the actual records rather than a summary, including every booking and a list of which emails I have sent you, and you can download a copy. There is nothing to request and nothing to wait for.
You can correct anything wrong from the same place, or ask me to delete it entirely. Deleting removes the account and its booking history. Just ask — in person at a session, by replying to any email you have had from the practice, or through the ask a question form on the home page if you have neither. I will answer within 30 days and usually the same week.
I am responsible for the personal information this practice holds and for its compliance with British Columbia's Personal Information Protection Act. That is Urvi Chokhawala, the teacher — there is nobody else. Any question, request or complaint about privacy comes to me by any of the routes above.
If you are not satisfied with how I have handled something, you can raise it with the Office of the Information and Privacy Commissioner for British Columbia.
If this notice changes in a way that matters, I will say so by email rather than quietly editing the page.
